Phonic Tots Literacy Development LLC
Public Liability
- Parents and carers are solely responsible for the care and safety of their child/children at all times while attending Phonic Tots classes. Phonic Tots does not accept responsibility for their supervision or well-being.
- Access to the premises and any class will only be granted if a booking has been made and our Terms and Conditions have been accepted by the parent.
- It is the responsibility of the attending adult to ensure that their child does not come into contact with any materials or substances that could cause an allergic reaction.
Allergies must be disclosed at the time of booking. While every effort is made to avoid allergens, Phonic Tots is not liable for any reactions.
- While Phonic Tots provides non-toxic, hypoallergenic, and mostly edible materials, these are not intended for consumption. Some items, even if edible, may pose a choking hazard. Phonic Tots does not accept liability for any accident, allergic reaction, or illness caused by materials or products used during sessions. The attending adult is fully responsible for their child's safety, use of equipment, and respectful behavior toward others.
- Adults must never leave the premises without their child.
- Phonic Tots is not responsible for loss or damage to personal belongings. We recommend children wear clothing suitable for messy play, as we are not liable for stains or damage to garments.
- We do not retain any completed or partial work from classes. Please take any work home with you at the end of your session.
- Attending adults may take photos or videos of their child during class, provided they comply with Article 378 of the UAE Penal Code, requiring permission from all recorded parties. Phonic Tots is not liable for any breaches of this law by attending adults.
Health and Safety Policy
- Parents/carers are responsible for their child’s safety throughout the session.
- Hot drinks are not permitted inside the classroom.
- Children are not allowed in kitchen areas, if any.
- Please keep all harmful or breakable items, especially sharp objects or medication, safely stored away and out of reach of all children on the premises.
- Though we aim to avoid choking hazards, small items may be used. Parents/carers must supervise their children at all times.
- Due to our focus on fine motor development, some activities use small materials. Adult participation and close supervision are essential from entry to exit.
- All materials are thoroughly cleaned before each session.
- Anyone displaying symptoms of COVID-19 should not attend. Phonic Tots reserves the right to ask anyone showing symptoms to leave to protect others.
- If an adult or child tests positive for COVID-19, they must stay home. A makeup session will be offered.
- Parents are advised not to let their children attend classes within 48 hours after being sick or vomiting, having diarrhoea, or having a fever.
- Play areas are arranged to allow safe movement between activities.
- All equipment is regularly inspected, and any damaged items are removed or repaired; however, if equipment becomes damaged without our knowledge, it will be removed promptly once brought to our staff’s attention.
- During messy play, floors may become slippery. Please take care. Phonic Tots is not liable for slips or injuries—supervision remains the responsibility of the parent/carer.
- In the event of illness or injury, a first aid kit is available on-site; however, treatment must be administered by the parent or guardian of the child. It is the attending adult’s responsibility to provide or seek medical assistance.
It is not the responsibility of Phonic Tots staff to administer medical care in the event of an injury.
- In the event of illness or injury, an incident report will be completed detailing the event, including personal information of the attending adult and child, as well as any treatment provided; a copy will be given to the parent/carer, and Phonic Tots will retain a copy for its records.
- Any food items provided are handled with high standards of hygiene. All food is checked for quality and safety.
- Food preparation areas are cleaned before and after use.
- Hand-washing facilities are available for optional use before eating. Waste is disposed of properly.
- Each venue has fire safety procedures in place. Session Leaders will inform attendees of the nearest exits in case of an emergency.
- Children must always remain under the supervision of their parent or carer. Unaccompanied children are not permitted.
- Phonic Tots Literacy Development LLC disclaims any liability in relation to the above.
Privacy Policy
Phonic Tots complies with the UAE Personal Data Protection Law (Federal Decree Law No.45 of 2021), and as such, personal data will only be retained for as long as necessary to fulfil the purpose for which it was collected. We respect and value your privacy.
We collect:
- Name and contact details of the attending adult.
- Child’s name and date of birth.
- Allergy and medical information.
- Acknowledgement of responsibility for the child's safety.
- Permission (or refusal) to use photos/videos for promotional purposes.
- Booking confirmation and attendance data.
- Cookie data via Google Analytics (page views, clicks).
We use your data to:
- Contact you about your booking or emergencies.
- Record any incidents where medical treatment is required for the legal protection of both parties.
- Inform you of class changes or cancellations.
- Assess class suitability and meet individual child needs.
- Manage class registers.
- Promote classes (with consented photos/videos).
- Communicate updates, promotions, or respond to inquiries.
We do NOT:
- Store or access your payment details.
- Share personal data with third parties unless legally required.

Refund Policy
- Free Classes may only be booked once per child.
- After the trial class has been attended, a mandatory registration fee will be payable by all new families.
- Full-term bookings (Packages) are fully refundable up to 48 hours before the first class of the term starts.
NO refunds will be given for cancellations after the stipulated time; only alternative classes may be offered.
- Missed Sessions: Two (2) makeup classes are allowed per term - no refunds for missed sessions. Makeup classes can not be carried over to subsequent terms.
- Class cancellation: If you are unable to attend a class, cancellation must be done on the booking site, or if unable to do so, contact Phonic Tots directly. This action is required no less than two (2) hours prior to the booked class starting. If cancellation is not done, no makeup class will be made available.
- No new bookings will be accepted for a child if there are any outstanding fees from previous bookings. It is the responsibility of the parent(s) to ensure all financial obligations set out in these terms are carried out.
- In the event of force majeure, including but not limited to natural disasters, government restrictions, or other events beyond our control, Phonic Tots will not be liable to offer refunds for missed or cancelled classes.
- In the event that a teacher is unable to fulfill her duties and a cover teacher is unavailable, a makeup class will be offered, or a refund of the class fee will be provided.
